Operations controller

Обязанности:

• Central Task Registry (TIMS): Maintain accurate data in TIMS for quotes, policy endorsements, Certificates of Insurance (COI), cancellations, and renewals. Ensure every open task has an assigned owner, backup, deadline, next step, and client communication log.

• Urgent Tasks & Escalations: Prioritize policy cancellation threats, deadline compliance, urgent vehicle changes, and missed client commitments. Raise critical issues immediately to relevant managers with clear action plans.

• Handoff Quality Assurance: Verify that all necessary applications, VINs, dates, cargo details, and underwriting documents are attached before a task handoff occurs.

• Verified Completion Audit: Enforce strict status tracking (Received, In Progress, Submitted to Carrier, Carrier Confirmed, Independently Verified, Client Notified). Ensure tasks are never closed without verified proof.

• Client Commitment Oversight: Ensure every account has a designated communication point of contact and a set update timeframe. Prevent missed client updates across internal teams.

• Workload & Resource Management: Track task backlogs, team capacity, absences, and double-booking across departments. Provide resource reallocation recommendations to management.

• Renewal Preparation: Ensure renewal processing for Shah's queue begins 90 days prior to expiration (requesting documents, setting checks, sending for calculations), with special tracking for Physical Damage (PD) policy renewals.

• Operational Reporting & Corrective Actions: Generate daily reports on overdue tasks, unconfirmed policy changes, missed client messages, and recurring errors. Coordinate with department heads to assign corrective ownership and re-auditing deadlines.

• English Proficiency: Advanced / Fluent level (written & spoken) for daily coordination with US teams and management.

• Professional Experience: 2+ years of experience as an Operations Controller, Process Auditor, Quality Assurance Manager, Risk Manager, or Operations Coordinator in international companies, outsourcing hubs, US logistics (Trucking/Dispatching), or insurance.

• Analytical & Detail-Oriented: Exceptional attention to detail with ability to navigate CRMs (TIMS), databases, and complex Excel records.

• Firm Execution & Time Management: Ability to firmly hold team members accountable for deadlines, status updates, and proof of completion in a professional manner.

• Shift Readiness: Willingness and capability to work on-site during the night shift (6:00 PM – 3:00 AM Bishkek time).
